Volunteer Assignments

The SER2021 conference will be held using the Zoom platform (for video streaming) and the PheedLoop conference platform. Volunteers will need to be comfortable (by the end of training) with assisting in minor technological checks/fixes (audio quality, screen sharing, etc), moderating questions submitted through Zoom or the conference platform, and elevating participation to be speakers/letting speakers into Zoom. 

 

Training Course Helper 

A series of one-day training courses and shorter workshops will be held in advance of the main conference days on Thursday, June 17, and Friday, June 18. Sessions may run for between 1.5 and 8 hours. Volunteers assigned to this area will be expected to:

  • Arrive at the assigned area half an hour prior to the course’s scheduled start time to help get course organizers and speakers signed onto the platform and do a brief technology check
  • Provide general assistance and logistical support to course instructors and organizers (troubleshooting minor problems with AV)
  • Assist the course instructors or workshop speakers with monitoring comments and questions
  • Assist in keeping the session running on time (e.g. provide time check for speakers and scheduled breaks) 
  • Communicate with conference staff in the event of problems that cannot be immediately resolved within the room (major technological issues, inappropriate behavior from an audience member) 

 

Session Monitor

The conference program will be built around concurrent sessions in which a group of presenters will engage in live discussions with conference participants. There will be 1-3 time slots a day for concurrent sessions (June 21 - 24). We expect to have approximately 8 of these sessions happening simultaneously during each of these slots. This is an important area of need for volunteers. 

We will rely on volunteers to help address any problems that might arise during the session and to aid the session organizers and speakers in whatever way necessary. Each “room” will be staffed by at least one volunteer. Volunteers assigned to this area will be expected to:

  • Arrive promptly 15 minutes prior to the scheduled start time for the session(s) they are staffing to assist speakers and organizers in getting signed into the session and perform a brief technology check with speakers for audio quality
  • Share information with the audience about how the session will work/which features to use during the session
  • Remain in the assigned room for the duration of the session and assist the session moderator as needed (moderate the questions queue, etc.)
  • Communicate with conference staff in the event of problems that cannot be immediately resolved within the meeting room (major technological issues, inappropriate behavior from an audience member) 
  • End the session on time so the next group can enter the “room”
  • For contributed sessions: Volunteers will be asked to serve as session moderators.  To do this,  volunteers will need to review the 4-6 presentations included in the session in advance to ensure they are familiar with the topic; this time (max. 1.5 hours) will count towards your volunteer hours. During the session, volunteers may need to get the conversation started with questions directed to speakers, and they will need to direct questions from the audience to speakers. An additional volunteer will be assigned to these sessions to assist with technological issues. 

 

Field Trip Helper

Pre-conference virtual field trips will take place on Fridays (based on regional time zones) between May 7 and June 18. Field trips will run for 1 - 2 hours and will be scheduled to start at either 7PM EDT Thursday for Asia/Australasia (11 PM UTC) or 10 AM EDT (2 PM UTC) for India, the Middle East, Europe, Africa, and the Americas. Up to four concurrent field trips may be running at the same time, and each trip will be staffed by one volunteer. 

Volunteers assigned to this area will be expected to:

  • Arrive 30 minutes prior to the start of the field trip to help field trip organizers and speakers get signed in
  • Perform a quick audio and visual technology check with speakers
  • Send an update to conference staff near the start of trips about the number of participants
  • Assist the trip organizers as needed with monitoring questions
  • Assist in keeping the session running on time
  • Communicate with conference staff in the event of problems that cannot be immediately resolved within the room (major technological issues, inappropriate behavior from an audience member)

 

Special Events 

We may have a need for volunteers to provide technological support during social and networking activities held during the conference. These are still being scheduled, but will be 1 - 2 hours in length and held before or after concurrent sessions at the meeting.
